Responsible AI Use Policy

Last updated: 12 October 2026

This policy explains how CAQAbot uses artificial intelligence, the limits of what it can do, and what we expect from people who use it. In this policy, "we", "us" and "our" mean Career Calling International Pty Ltd (ABN 53 162 651 238, ACN/ARBN 162 651 238), trading as CAQAbot.

1. How CAQAbot uses AI

1.1 CAQAbot uses large language models to check, rewrite, summarise, translate, analyse and draft text at your request. Some checks, such as spelling, readability scores, the word counter and many style rules, run without AI.

1.2 AI only acts on text you choose to submit. It does not act on your behalf outside CAQAbot, and it does not contact anyone.

1.3 We do not use your writing to train AI models. See the Privacy Policy for how text is processed and how long our providers may keep it.

2. Limits you should know about

2.1 AI can be wrong. Suggestions, rewrites, summaries and translations can contain errors, omit important detail or change meaning. Review every result before you rely on it.

2.2 AI does not verify facts. Drafts from the AI Writer, AI Chat and the editor assistant may sound confident but contain mistakes. CAQAbot is instructed not to invent sources, statistics or quotations, but you must check any factual claim and any source before you use it.

2.3 AI detection is an estimate. The AI Detector gives a reasoned estimate, not proof. It can misjudge short, formulaic or heavily edited text, and writing by people using a second language. A detector result must never be the only basis for an academic, employment or disciplinary decision about a person.

2.4 Plagiarism checking has limits. The Plagiarism Checker compares your text with public web pages found by search. It cannot see private databases, paywalled journals or student paper repositories, so a low similarity score does not guarantee originality.

2.5 Grades and reader reactions are predictions. The Review Agents predict how a marker or reader might respond. Only your assessor or audience can decide.

3. Academic and workplace integrity

3.1 Schools, universities, registered training organisations, publishers and employers set their own rules on AI assistance. You are responsible for knowing and following the rules that apply to you, including any requirement to disclose AI use.

3.2 Grammar checking, citation formatting and feedback are widely accepted. Paraphrasing, humanizing and AI drafting may be restricted. Do not use CAQAbot to submit work as your own where that is not allowed, or to disguise the source of someone else's work.

3.3 CAQAbot Write keeps an authorship record of what you typed, pasted, accepted and inserted with AI. You can download it to show how your work was written.

4. Prohibited uses

You must not use CAQAbot to:

  • break any law, or help anyone else to;
  • plagiarise, or infringe copyright, trade marks or other rights;
  • create content that harasses, threatens, defames or discriminates against people;
  • create misinformation, fake reviews, fake testimonials, impersonation or other deceptive content;
  • produce content that sexualises minors, promotes violence or self-harm, or facilitates serious harm;
  • attempt to extract our systems' instructions, overload the service, or use automated tools to scrape or resell it.

We may limit or block access where we reasonably believe the service is being misused.

5. Human oversight

5.1 CAQAbot is designed to support your judgement, not replace it. Suggestions are shown with explanations, and nothing changes in your document unless you accept it.

5.2 We review reports of harmful or inaccurate behaviour and adjust our instructions, rules and safeguards in response.

6. Reporting a concern

If CAQAbot produced something harmful, offensive or seriously wrong, or you believe someone is misusing it, contact us at info@caqa.com.au with as much detail as you can. See Complaints and Feedback for how we handle complaints.
